How DeafHive collects, uses and looks after your personal information — and the small amount of storage the site uses.

Who we are
DeafHive is a community directory of Deaf organisations, BSL events and sign-language videos at deafhive.online. DeafHive is a service of SigningWorks (“SigningWorks”, “we”, “us”) — the organisation ultimately responsible for DeafHive. SigningWorks is a private limited company registered in England & Wales under company number 06580355, with its registered office at Suite 23, 14-15 Triangle South, Clifton, Bristol, BS8 1EY.
We are the “data controller” for the personal information described in this notice. If you have any questions, or want to exercise any of your rights, contact us at community@signingworks.co.uk.
What this notice covers
This notice explains what personal information we collect when you use DeafHive or submit a listing, why we use it, how long we keep it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).
The information we collect
When you submit an organisation, event or video, we collect what you put in the form, which may include:
- the organisation, event or video details (name, description, website, address, links and any logo or image you upload);
- a public contact email, if you choose to include one (this is published on the listing);
- your private contact email, which we only use to contact you about your submission and never publish.
When you simply visit the site, our hosting and security providers automatically process limited technical data — including your IP address and basic request information — to deliver the site, keep it secure and prevent spam and abuse. We don’t use this to identify you personally.
If you are a DeafHive administrator, we hold your name, email address, a securely hashed password, and a log of sign-in activity (such as time and IP address) so we can keep the admin area secure.
How we use your information, and our lawful basis

Cookies and similar storage
We do not use any analytics, advertising or tracking cookies. Because the only storage we use is strictly necessary or only happens when you choose an action, we don’t show a cookie consent banner. Here is everything the site uses:
- Anti-spam (Cloudflare Turnstile): the submission forms use a privacy-friendly “are you human?” check. It may set a short-lived token strictly to do that job.
- Admin sign-in: if you log in to the admin area, we store a sign-in token in your browser so you stay logged in. This only applies to administrators.
- YouTube videos: videos don’t load until you click play. Only then may YouTube (Google) set its own cookies. We use the privacy-enhanced “youtube-nocookie” mode. See Google’s privacy policy.
Who we share your information with
We don’t sell your information. We use a small number of trusted providers to run the site, who process data on our behalf:
- Cloudflare — hosting, the database, media storage, and anti-spam/security.
- GitHub Pages — serving the public web pages.
- Resend — our email provider, used only if we turn on email notifications (such as submission alerts); not currently active.
Some of these providers may process data outside the UK. Where they do, this is covered by appropriate safeguards (such as the UK’s International Data Transfer Agreement or equivalent) so your information stays protected.
How long we keep it
We keep personal information only for as long as we need it. Our usual periods are:
- Published listings — for as long as the listing is live on the directory.
- Submissions we decline — deleted within 3 months.
- Private submitter emails — kept only while we need them to deal with your submission, then deleted.
- Security and sign-in logs — up to 12 months.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is wrong, or complete information that is incomplete;
- ask us to delete your information, or to restrict or object to how we use it;
- ask us to provide certain information to you or another provider (data portability), where it applies.
To exercise any of these, contact us at community@signingworks.co.uk. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator, at ico.org.uk or on 0303 123 1113 — though we’d appreciate the chance to put things right first.
Children
DeafHive is a public directory aimed at adults and organisations. We don’t knowingly collect personal information from children. Listings should be submitted by an adult on behalf of an organisation or event.
Changes to this notice
We may update this notice from time to time. When we do, we’ll change the “last updated” date at the top of the page.
